Our client is a leading life sciences organization that develops and manufactures tools and materials used in the production of biologic drugs. They are seeking a skilled Receptionist to join their growing team in Waltham, MA. This is an excellent opportunity to contribute to an innovative and rapidly expanding company.

This position provides essential administrative support while serving as the first point of contact for employees, visitors, and guests at the corporate office. The individual in this role will act as the front desk gatekeeper, delivering a welcoming and professional experience both in person and through phone and email communications. This is a great opportunity for a motivated individual to gain exposure to multiple areas of the business, with strong potential for growth.

Schedule: Monday–Friday, 8:00 AM – 5:00 PM (1-hour lunch)
Work Environment: Fully onsite

Key Responsibilities
  • Greet and assist visitors, clients, and employees, ensuring a positive and professional first impression
  • Answer, screen, and route incoming calls in a timely manner
  • Manage front desk operations, including handling mail, packages, and general correspondence
  • Coordinate meeting room scheduling and assist with meeting/event setup and cleanup
  • Provide administrative support such as document preparation, record updates, and office supply management
  • Assist with travel arrangements and expense reporting (e.g., Concur) as needed
  • Collaborate with internal teams to support communication and workflow
  • Maintain confidentiality and professionalism when handling sensitive information
Qualifications
  • Minimum of 2 years of experience in an administrative, receptionist, or customer-facing role, ideally within a corporate environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); Concur experience is a plus
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Excellent written and verbal communication skills
  • Professional, friendly demeanor with a proactive and positive attitude
  • Strong interpersonal skills with the ability to interact across all levels of the organization
